Engaging Treatment Presentations that Influence Case Acceptance in Dentistry

Youโ€™ve carefully diagnosed a patientโ€™s oral health needs and crafted the perfect treatment plan. The patient seemed interested and engaged; they seemed to be asking for the treatment.  But when you present it, their eyes glaze over, questions remain unanswered, and commitment seems distant. This scenario is all too familiar. But what if, like Disney, you could create unforgettable experiences, you could make your treatment presentations clear, engaging, and tailored to different learning styles? 

Diverse Patient Learning Styles Require Different Approaches

Just like Mickey caters to both thrill-seekers and story lovers, consider the diverse learning styles of your patients. Hereโ€™s how to appeal to each: 

  • Visual Learners: Transform your presentation by replacing text-heavy slides with images, clear drawings, and captivating before-and-after photos. Use visuals as you explain what they are seeing, the benefits of treatment, what can occur if treatment is delayed, and what treatment is possible.  Among the visuals could be hand-drawn illustrations created while the patient is watching, computer images, animations, and videos of procedures. Consider the use of interactive software that allows them to visualize potential outcomes. 
  • Auditory Learners: Let your voice and the power of a story build trust.  Avoid dental jargon that they might not understand. Paint an emotive picture of the benefits of treatment, highlight improvements to their oral health, a brighter smile, and help them imagine the increased confidence that comes with health. Incorporate a real patientโ€™s positive experience and outcome with a similar treatment plan.  
  • Kinesthetic Learners: Engage their senses for a deeper understanding. Have them hold their dental models while you explain how the treatment will impact their teeth, smile, and bite. Use the 3D representation of their teeth to demonstrate what treatment is possible to create an ideal smile and bite. Utilize interactive software that allows them to visualize their treatment outcomes. Offer samples of dental prosthetics or appliances for them to hold and feel.  

Clues and Strategies for Determining Patient Learning Styles

While itโ€™s not always possible to pinpoint a learning style definitively, there are several clues we can look for and effective strategies to employ. 

  • Verbal Cues: Pay attention to the types of questions they are asking. Visual learners frequently look for diagrams and examples, auditory learners request further explanation or clarification, and kinesthetic learners inquire about physical sensations or experiences trying to imagine โ€œwhat it will be likeโ€. Listen to how each person explains their understanding of conditions or procedures. Are they using visual metaphors, auditory descriptions, or kinesthetic references? 
  • Observations: Observe if the patient creates detailed notes or relies on visual cues during your consultation. Watch closely for nonverbal cues. Visual learners may lean in to better see visuals, auditory learners may nod or shake their head in response to explanations, and kinesthetic learners may gesture or touch objects. 
  • Self-Description: Ask patients if they prefer reading, listening, or hands-on activities when learning new information. Alternatively, ask, โ€œDo you find it easier to learn through seeing information as you listen, listening to the facts and stories, reading about it, or doing things that involve physical hands-on activities?โ€ 

Transforming How You Present Treatment Plans To Your Patients

Hereโ€™s a simple four-step process to tailor your presentations: 

  • Patient Profile: During your initial interview, identify learning style preferences through your conversation with the new patient. 
  • Presentation Prep: Use the tips above to adjust presentation materials and focus based on the patientโ€™s learning style. 
  • Interactive Delivery: Actively engage with patients throughout your discussion of findings and subsequent presentation, answer their questions in a way that matches their learning style, and invite them to participate (e.g., pointing to visuals, discussing their concerns). Focus on what patients are saying and how they are expressing themselves. This can help you tailor your explanations to their learning style. Periodically ask patients for feedback to keep them engaged. 
  • Adapt During the Presentation: Be prepared to adjust your approach based on patient feedback or observations. Ask for feedback and consider using questions that require patients to elaborate on their understanding or preferences. You may get additional insights into their learning style. 

Move from One-Size-Fits-All Presentations to Uniquely Engaging Ones 

The goal is to create a more engaging and effective learning experience for your patients, leading to improved patient satisfaction and involvement in treatment decisions and overall dental health outcomes. When in doubt about a patientโ€™s learning style, incorporate multiple modalities and stay alert for new insights into how they are experiencing your delivery.  

By incorporating these strategies, you can build trust, improve understanding, and increase case acceptance, leading to a practice that thrives on patient satisfaction!

Our story with IgniteDDS began almost five years ago when my wife and I purchased an established fee-for-service practice. At the time, we promised the team that everything would stay the same. The practice was thriving, and from the outside it seemed clear they had found a successful recipe for success. Our goal wasn't to change itโ€”we simply didn't want to mess it up.

What we discovered was that while everyone wanted the outcome of success, there wasn't alignment around how we achieved it or measured it. Success in room 1 wasn't the same as Room 2. It took us nearly four years to fully understand that because we were doing well. During that time, we also realized we weren't leading as effectively as we could have been. We weren't communicating a clear vision, establishing consistent standards, or implementing clear protocols. Instead, we allowed people to continue doing things their own way. Some team members appreciated that freedom, while others felt frustrated by the lack of consistency and direction.

After four years, we found ourselves at a crossroads. We felt stuck. Morale was low and we weren't sure we could get the practice where we wanted it to go on our own.

As owners who value relationships as much as results, David immediately stood out to us. His personality was authentic, approachable, and trustworthy. He was someone we could see ourselves learning from and building a genuine relationship with. Being local was a bonus, but what really resonated with us was that his vision for practice growth, demonstrated through his own private practice, closely mirrored our own. He had already built the type of practice we wanted to create.

This stood in contrast to many other consultants we spoke with, whose focus seemed to be on PPO models and increasing volume. David's experience aligned with the type of practice we wanted to build: a high-touch, high-end patient experience centered on quality rather than quantity.

The IgniteDDS teamโ€”David, Dawn, and Candyโ€”started by helping us understand where we truly stood. Through discovery, data gathering, and DISC assessments, they helped us identify opportunities for improvement and build a foundation for long-term growth. Rather than jumping straight to solutions, they gave us clarity.

Candy's coaching was instrumental in aligning our hygiene department and our office as a whole with the hygiene department. With her help, we were able to improve the patient experience and new patient process.

We also tackled practical issues that had become major challenges, including an accounts receivable system that was largely out of control. IgniteDDS didn't just point out problemsโ€”they provided systems and processes to solve them.

One of the most valuable aspects of the relationship was having experienced coaches to help us navigate team conflict and leadership challenges. As practice owners, those situations can feel isolating. Having a trusted team to walk through difficult conversations and decisions was invaluable.

Another large impact came through our office managers' work with Dawn. Rather than relying on the doctors to drive every initiative, IgniteDDS empowered our office managers to take ownership of the process and lead from within the organization. They embraced that responsibility wholeheartedly. No challenge was too large or too small. Dawn consistently met them where they were and helped them develop the confidence and skills to lead. The answer was rarely, if ever, "no." Instead, it was, "Let's figure out how."

Today, our practice is more aligned, more accountable, and better equipped to deliver the experience we've always envisioned. We have clearly defined protocols, team agreements, and expectations that simply didn't exist before. Our collections have improved significantly, particularly through implementing systems that helped us address and recover outstanding balances.

If we could offer one piece of advice to another practice owner considering IgniteDDS, it would be to identify the team members who are willing to take ownership and invest in their growth. Gary DeWood, DDS

Dr. DeWood earned his D.D.S. degree from Case Western Reserve University in Cleveland in 1980, completed the University of Florida Facial Pain Center Curriculum from 1992 through 1995, and earned a Master of Science degree at The University of Toledo College of Medicine in 2004. From 1981 to 2004 he maintained a full-time private practice in Pemberville, Ohio. He left private practice to serve as full-time faculty and Clinical Director of The Pankey Institute through 2008. In 2008 Dr. DeWood became a founding member of Spear Education, a dental continuing education company in Scottsdale, Arizona. He has also served in many roles in education over the years including Assistant Professor at The University of Toledo College of Medicine, Associate Professor at The University of Tennessee College of Dentistry and as Adjunct Clinical Professor at Arizona School of Oral and Dental Health. He is a member of the American Dental Association, Arizona Dental Association, Academy of General Dentistry, American Academy of Fixed Prosthodontics, American Equilibration Society, American Academy of Orofacial Pain and other dental organizations. Dr. DeWood continues to teach dentists in numerous workshops at The Pankey Institute and lectures extensively to Study Clubs, professional organizations and at dental meetings across the country and around the world.
